
Amartus is a team of Software Engineering Experts devoted to providing highly specialized, tailored software development and integration services for networking, cloud & telecom companies. We drive customer solutions and provide technical expertise and innovation to the connectivity domain. We are a company with head-quarter in Dublin, Ireland and an R&D centre in Krakow, Poland. We work with an international client base of top-tier communication and cloud service providers, and we are currently seeking for an Office Manager to manage our office topics, including administration and accounting.
Location: R&D office in Kraków (next to ICE)
As an office manager, you will be a key member of the operations team, responsible for the efficient coordination of office matters, supplies, and ensuring a smooth and safe document flow in the company. You will report to HR and Operations Manager.
Your scope:
- Oversee the guest and & employee experience and ensure a personal, friendly experience for anyone coming into the office, and maintain complete accessibility in both availability and warmth of character
- Coordinate and cultivate relationships with clients and providers
- Ongoing cooperation with accounting in Poland and Ireland
- Support bookkeeping and budgeting procedures for the company
- Coordinate special projects with HR (especially personnel & benefits administration) and Operations as needed
- Oversee office interactions, responding to requests and questions
- Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
- Oversee the day-to-day activities of the office as the main point of contact, keeping management informed of performance with routine and requested reporting
- Provide direct administrative supports, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing and shipping packages
- Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain and manage vendors, and coordinate food delivery as needed
- Manage all aspects of the office’s space/infrastructure planning
Our requirements:
- 2+ years of office/ administration management experience
- Strong time-management and people skills, positive attitude
- Flexibility and multitasking ability
- Proficiency in Microsoft Office package, with aptitude to learn new software and systems
- Very good command of English (B2+)
Nice to have:
- Previous experience in IT/ software/ engineering company
- Previous experience with personal administration, benefits management and/or accounting
- Basic knowledge of Polish labor law
